Front Desk/Receptionist, Office Administrator/ Coordinator
Summary
Coordinates and provides support for front desk Convent operations. Coordinates the front lobby operations.
Essential Duties and ResponsibilitiesConvent Support – Front Lobby (36 assigned hours)
- Ensure SOT policies are followed for visitors and deliveries
- Answer calls in a polite and timely manner. Adjudicate/transfer as needed.
- Maintain phone lists for Intranet publishing and distribution
- Assign visitor name badges and monitor that all visitors sign in/out
- Accept/sign and adjudicate incoming packages and deliveries
- Serve as a back‑up for sorting and disseminating incoming and outgoing mail
- Ensure vehicle sign‑out forms are current and updated
- Maintain front lobby digital monitor that shares Society information, news, and pictures - Screen Cloud
- Other duties as assigned
Convent Support – Other (As needed)
- Purchase and label items for the gift shop including seasonal offerings
- Monitor office supplies in mailroom and storage for need to order
- Assist with coordinating weekly retreat ant packages for guests to the campus
- Ensure that employee e‑mail addresses are current in copiers and update as needed
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
- Continual learner of new software and processes

Salary: $16.50 - $17.50 per hour
