Job Title: Executive Assistant to the Founder
Job Type: Contract-to-Hire

As the company continues rapid growth, the Founder is seeking a highly capable right-hand partner to drive focus, execution, and operational efficiency.

The Executive Assistant will serve as the operational command center for the Founder—managing priorities, communications, and cross-functional alignment across the executive team. This high-trust role requires a proactive, AI-savvy professional who can organize complexity, anticipate needs, remove friction, and ensure the business operates at the speed of its growth.
The ideal candidate thinks like a Chief of Staff
, acts with urgency, and leverages technology and automation to maximize the Founder’s productivity and focus.
- Own and optimize the Founder’s calendar with strategic prioritization
- Coordinate internal and external meetings, including preparation materials and follow-ups
- Build weekly agenda structures aligned to monthly and quarterly priorities
- Monitor, triage, and draft communications across multiple channels
- Maintain inbox hygiene and elevate critical items
- Ensure the Founder is consistently briefed on high-priority issues
- Manage complex domestic and international travel arrangements
- Optimize logistics, costs, and overall travel experience
- Prepare detailed travel briefs including meeting objectives and key contacts
- Provide onsite support at events as needed
- Track quarterly, monthly, and weekly priorities aligned to OKRs
- Protect the Founder’s time by reducing distractions and driving focus
Prepare a structured weekly review including:
- Prior week progress
- Upcoming commitments
- Risks, bottlenecks, and red flags
- Alignment to company objectives
- Recommended adjustments to maintain strategic focus
- Follow up with executive leaders (CTO, VP Sales, SVP Delivery, CFO, etc.)
- Track project status, deadlines, blockers, and required decisions
- Ensure cross-functional visibility and accountability
- Maintain dashboards for key initiatives and strategic work streams
- Proactively track deliverables and drive execution
- Improve workflows across Sales, Marketing, Product, Engineering, and Customer Operations
- Draft and refine:
- Founder presentations (PowerPoint)
- Linked In thought leadership and social content
- PR and external communications
- Executive updates and speaking materials
- Ensure brand consistency and professional tone
- Translate Founder ideas into polished, high-impact messaging
- Utilize AI tools to accelerate content creation
- Leverage tools such as ChatGPT, Zapier, Calendly, Notion, Superhuman, and similar platforms
- Build automations for:
- Inbox organization
- Slack signal extraction
- Meeting note consolidation
- Task routing and tracking
- Priority dashboards
- Continuously identify opportunities to increase efficiency through automation
- 5+ years supporting founders or C-level executives (SaaS or tech preferred)
- Experience in fast-paced startup or high-growth environments
- Exceptional written and verbal communication skills
- Highly organized, detail-oriented, and proactive
- Comfortable working with senior leadership and cross-functional teams
- Advanced proficiency with modern collaboration tools (Google Workspace, Slack, Zoom, Notion, Asana/Jira, etc.)
- Experience with AI productivity tools and workflow automation
- Strong judgment, discretion, and ability to handle confidential information
