Job DescriptionWe are seeking a proactive and organized Director of Office Administration & Operations to lead our daily office management, streamline workflows, and support cross-departmental coordination. This role plays a key part in maintaining operational efficiency, ensuring smooth communication across teams, and supporting both staff and leadership initiatives. The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced, team-oriented environment.
Key Responsibilities Office Operations- Oversee all day-to-day office operations, including scheduling, supplies management, and technology systems.
- Implement and maintain office policies, procedures, and workflows to drive efficiency and compliance.
- Coordinate internal communication between departments, agents, and leadership teams.
- Oversee and manage the integration and maintenance of the company CRM (
Agency Zoom
). - Provide IT assistance to staff and serve as the main liaison with the external IT support company when needed.
- Support staff onboarding, training coordination, and ongoing performance tracking.
- Manage office-wide scheduling, time-off requests, and team communication channels.
- Foster a positive, organized, and collaborative workplace culture.
- Serve as the primary point of contact for office-related inquiries and problem resolution.
- Proactively identify operational challenges and implement process improvements.
- Partner with senior leadership on special projects, strategic initiatives, and company-wide goals.
- 3–5 years of experience in office management, operations, or administrative leadership.
- Strong organizational, communication, and problem-solving skills.
- Experience working in the insurance industry.
- Experience working with CRM systems (Agency Zoom experience a plus).
- Proficiency with office technology, scheduling tools, and Microsoft Office/Google Workspace.
- Bookkeeping or financial administration experience strongly preferred.
- Ability to manage multiple priorities and drive continuous improvement.

Onsite. Cincinnati Office and Hillboro Office - Travel:
