Dispatch Coordinator

Report To:
Operations Manager

• Create job orders accurately and efficiently within Bestway’s internal Local Delivery Transport System (LDTS).
• Assist dispatch managers with daily operational needs, including routing, scheduling, and service coordination.
• Manage shipment status updates by communicating with customers, partners, and internal teams in a timely and professional manner.
• Coordinate air-export documentation and ensure all required paperwork is completed, compliant, and submitted on schedule.
• Monitor and manage inbound emails through shared operational inboxes; ensure all requests are routed, handled, and closed out efficiently.
• Send customers Proof of Deliveries (PODs) and other required documentation promptly.
• Provide customers with rate quotes in alignment with company pricing guidelines and service capabilities.
• Update shipment tracking systems to reflect accurate, real-time progress and exceptions.
• Schedule appointments with airlines, warehouses, and other partners as required to support freight movement.
• Collaborate with accounting to reconcile paper billing packets, delivery paperwork, and any required supporting documents.
• Support compliance with TSA, airport, and internal security procedures as required for cargo handling.
• Assist with other operational duties as assigned to ensure overall team and customer success.

• 1–3 years of experience in trucking, dispatch, freight forwarding, or logistics operations
• Familiarity with Chicago / O’Hare regional freight environment and airport-related operations
• Proficient in email communication, Google Docs/Sheets, and general computer systems
• Ability to manage multiple tasks with competing priorities
• Strong written and verbal communication skills
• Eligibility to comply with TSA and airport security standards
• On-site operations office environment supporting airport- and time-sensitive freight
• Fast-paced, service-driven environment with frequent communication and task switching
• Standard schedule:
  Monday–Friday, 8am-6pm with a lunch break
