ESSENTIAL DUTIES

Donor Database & Prospect Research

  • Conducts preliminary prospect research using online databases and resources to identify potential donors and funding opportunities.
  • Maintains accurate and up-to-date donor and new foundation prospect records in Salesforce, including contact information, donor history, engagement activities, and relationship notes.
  • Tracks and prepares reports on fundraising metrics, giving priorities, grant cycles, campaign progress, and portfolio management activities.
  • Collaborates with key stakeholders in compiling data to better inform strategic planning, donor recognition, and stewardship activities.
  • Ensures the confidentiality of donor information and compliance with development policies and procedures.

Grants Management & Institutional Giving Support

  • Supports the Development team in navigating funder portals and managing proposal development and submission processes.
  • Develops and maintains reference documentation such as funder requirements, standard attachments, and other supporting materials.
  • Navigates funder proposal portals, processes submissions, and ensures all required documentation is complete.
  • Reviews CCC Principal Investigator reports and prepares them for donor submission by CCCF.
  • Assists in reviewing grant awards and contract documents to ensure CCC staff have the necessary information needed for post-award reporting and funder-required activities.
  • Supports the Executive Director-Institutional Giving in reviewing incoming award terms, flagging and addressing unusual circumstances internally and externally, maintaining fair but firm positions to obtain optimum conditions for CCC & PI.
  • Collaborates with the CCCF Operations team, the Office of Institutional Resource Development, and other internal stakeholders to manage and ensure seamless delivery of CCC pass-through grants.
  • Coordinates with the Executive Director-Foundation Finance and Operations to maintain accurate records of all grant awards to the Foundation.
  • Supports pre- and post-award processes for private grant opportunities, including:
  • Assists in developing and disseminating communication of funding opportunities to relevant teams in alignment with leadership direction.
  • Provides support to leadership in advising principal investigators on pursuing grant opportunities and on fiscal, programmatic, and reporting requirements
  • Supports the centralized management of private grant opportunities and awards through CCCF grants management system.
  • Facilitates collaboration with CCCF Development staff and IRD Grants Manager to ensure timely submission, compliance, and completion of pre- and post-award milestones.

Reporting, Dashboards, and Knowledge Management

  • Prepares reports, dashboards, and executive-level communications to keep CCCF leadership apprised of progress to goals, grant performance, project timelines, grant pipeline status, award activity, and completion of key milestones.
  • Develops, maintains, and oversees centralized knowledge repositories (e.g., SharePoint or similar platforms) to house development and grants process documentation, workflows, templates, and training materials.

Event & Stewardship Support

  • Assists in planning and executing fundraising events, including logistics coordination, attendee management, and post-event follow-up.
  • Supports with refining and customizing donor lists for special mailings, invitations, donor recognition, and stewardship activities.
  • Provides administrative support to development leadership by coordinating CCC subject matter experts and preparing materials for donor meetings and site visits.
  • Performs other duties as assigned.

QUALIFICATIONS
  • A Bachelor’s degree from an accredited college or university in Business or Public Administration, or a related field.
  • Three to five years of progressively responsible experience in donor management, grant administration (pre and post award), grant writing, proposal development, or contract management.
