OverviewThe Maintenance Services department is responsible for managing the administration of all maintenance work orders, preventative maintenance programs, and asset replacement activities to ensure efficient operation and safety of all facilities and equipment within an assigned territory, administering over 1 million work orders annually for all AUSA Brands.
The Supervisor - I of Maintenance Services leads their team to ensure timely repairs and ongoing maintenance for building, equipment, and retail sites maintenance repairs across the Brands assigned. This position further manages vendor performance, on behalf of the Maintenance teams and the Brands, to ensure timely and cost-effective repairs, transparency of actions, and quality of work, utilizing the Computerized Maintenance Management Systems (CMMS).
They are responsible for developing and motivating their team to deliver a high level of service and responsiveness that reflects Brand strategies and ADUSA Values.
Our flexible/hybrid work schedule includes 3 in-person days at one of our core locations and 2 remote days. Our core office locations include Salisbury, NC, Chicago, IL, Quincy, MA, Carlisle, PA, Scarborough, ME, Hyattsville, MD and Mauldin, SC.
Responsibilities- Monitor and maintain the flow of work orders through the CMMS system to ensure satisfactory service levels and delivery standards are met and align with the strategy of the brand. Assist with escalated situations and notification of Legal action when required.
- Negotiates with contractors for Capital repairs or replacements of building, site or equipment, including oversight of the procurement process.
- Provide monthly reports to Maintenance leadership outlining the effectiveness of the team in reaching Department KPI's as well as monitoring workload and team efficiencies.
- Lead and direct the proper handling of invoices through the store maintenance software to ensure they are processed in a timely manner.
- Supervise proper accounting procedures including ensuring work orders are flagged/keyed using correct account numbers, location numbers and identifying capitalized expenses for the Brand supported.
- Improve business efficiency and maintain expenses at or under budget.
- Leads and directs the processing of billbacks generated to reclaim service expenses, manages extensive training program for current and evolving procedures and guidelines.
- Support and evaluate the operations of the store maintenance software including continuous evaluation and testing as needed for upgrades. Institute any necessary changes in service levels because of software implementations. Institute new policy/procedures, as necessary.
- Leads and directs the process for obtaining reimbursement of billbacks generated to reclaim expenses for product loss, labor and/or parts for service obligation for damages. Monthly monitoring to ensure all billbacks are generated and reimbursed.
- Additional job duties may be assigned as needed to meet the needs of the business and support our Values.
- Associate degree in business, Engineering, Technology or equivalent experience to include 3+ years of Facilities Management or Maintenance Call Center Management.
- Proficient in Microsoft Office.
- Experience in a Call Center environment.
- Strong written and verbal, and communication skills.
- Strong customer service, conflict management, problem solving and decision-making skills.
- 3-5 years' experience in supervision of associates.
- Ability to work across all levels of leadership.
- Ability to prioritize and delegate tasks according to goals and objectives.
- General knowledge of accounting principles.
- Familiar with legal and lease terminology/documentation.
- Knowledge of the budgetary impact of activities and ability to communicate to a wide audience.
- Solid working knowledge of property and building maintenance and repairs, contract bidding and negotiations.
- Ability to provide leadership in a diverse team environment with fast changing priorities.
ME/NC/PA/SC Salary Range: $26.54 - $39.81
