Position Summary

The Hospitality Manager provides direction and management of the Administrative Services function, including Hospitality, Reception, and Client Services Coordination departments.

Key Responsibilities
  • Manages and coordinates duties of Hospitality and Receptionist team staff members.
  • Coordinates services for office/firm events, such as facilities scheduling, catering, signage, displays, and special needs requirements.
  • Collaborates, strategizes and executes conference center events in conjunction with Technical Support, Marketing, Human Resources, Recruiting, and Attorneys.
  • Ensures GTMeet includes detailed requirements and billing for each event.
  • Ensures visiting offices are set appropriately.
  • Directs and mentors staff to ensure optimum performance.
  • Maintains staffing schedules to ensure sufficient coverage.
  • Assists with the hiring and training of staff as it relates to daily operations and systems.
  • Procures and manages contracts with approved facilities and hospitality vendors, including service contractors and caterers; selects and manages all food service and catering supply vendors.
  • Acts as the main contact for vendors, ensuring equipment is functional and maintained in working order.
  • Maintains appearance and condition of Conference Center facilities (furniture, equipment, and supplies), including refresh and maintenance schedules, cleaning supervision, and all repairs.
  • Coordinates work of contractors to ensure completion and follow up on any deficiencies.
  • Controls and manages hospitality expenses and budget.
  • Schedules, assigns receiving, and sets up all daily food and beverage services and deliveries; then verifies quality, quantity, and presentation.
  • Tracks waste due to canceled events or over ordering week after week; donates viable product.
  • Implements creative and/or artistic setups for events.
Skills & Competencies
  • Strong customer focus and service mentality.
  • Flexibility to adapt to organizational changes and schedules in a fast‑paced environment.
  • Ability to manage simultaneous deadlines with little or no supervision.
  • Ability to supervise and motivate staff.
  • Effective oral and written communication.
  • Strong organizational and problem‑solving skills.
  • General knowledge of contracts and agreements and ability to negotiate on behalf of the firm.
  • Ability to anticipate the needs of external and internal clients.
Education & Prior Experience
  • Minimum 3 years of experience in a related field, preferably in a professional services organization.
  • Prior experience in a supervisory role.
Technology
  • Proficiency with Windows‑based software and Microsoft Word, Excel, and Outlook required.
  • Exceptional computer skills with the ability to learn new software applications quickly.
Expected Pay Range

$98,400 to $115,000 per year. Actual pay will be adjusted based on experience, location, and other job‑related factors permitted by law. Full‑time employees may be eligible for a discretionary bonus, health insurance with an optional HSA, short‑term disability, long‑term disability, dental insurance, vision care, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, 401(k), vacation, sick time, and an employee assistance program.

Additional voluntary programs include: voluntary accident insurance, voluntary life, voluntary disability, voluntary long‑term care, voluntary critical illness and cancer insurance, and pet insurance. Commuter and Transit programs may also be available in certain markets.
