SUMMARY
The Maintenance Clerk is responsible for assisting the Maintenance Department by ensuring that all necessary equipment and information is readily available.
ESSENTIAL FUNCTIONS- Work with all plant departments to order parts and services as needed via the requisition database and AS400.
- Work with Suppliers to obtain quotes and information to ensure that the plant has necessary parts and services to complete tasks.
- Order, receive and track maintenance supplies, parts and inventory.
- Process invoices, purchase orders and vendor paperwork.
- Reviews orders for accuracy.
- Maintain vendor relationships and implement cost savings initiatives/projects with preferred vendors.
- Record, maintain, and present cost savings initiatives.
- Receive, log and track maintenance work orders and service requests.
- Schedule maintenance tasks and coordinate with technicians, vendors and contractors.
- Update preventative maintenance schedules and assist with compliance tracking.
- Applies knowledge of parts to assist in coordinating Maintenance efforts and PM’s.
- Maintain accurate maintenance records, reports and documentation.
- Schedule, record and maintain all forklift and battery repairs, associated costs, PM’s and replacements.
- Verify vendor services by confirming scope of work, service dates and completion of assigned tasks.
- Follow up on incomplete, delayed or unsatisfactory repairs and document resolutions.
- Manage the Parts Program for Maintenance. Train others as required.
- Manage and maintain vendor contracts, including tracking contract terms, expiration dates and service scopes. Follow proper approval process for all contracts.
- Verifies all relevant information in the system.
- Communicates data effectively with all parties, working closely with Purchasing and the Purchasing Systems.
- Support safety and regulatory documentation as needed.
- Perform general clerical duties such as filing, data entry, printing, etc.
- Perform other duties as assigned by supervisor.
- 1 year minimum of Maintenance Mechanic Administrative and Buying experience and computer skills.
- High School or GED equivalent with some Technical Training or related training or experience.
- Ability to enter data and to work with all the Microsoft Programs.
- A thorough understanding of Maintenance jargon is necessary and experience in Maintenance Inventory systems is a plus
