Purpose:

Keller Postman seeks a Litigation Assistant to support its practice of representing a broad array of clients as plaintiffs in complex litigation at the trial and appellate levels. The Litigation Assistant will provide high-quality administrative support to attorneys and paralegals in a fast-paced and demanding environment. Tasks and projects must be executed with a high level of attention to detail with minimal error.

This is a full-time, in-person position in our Chicago or Washington, D.C. office. The salary range for this position is $25.00/hour to $29.00/hour, depending on experience, plus it is eligible for a year-end discretionary bonus and benefits.

Essential Functions:
  • Use software to transcribe, revise, and finalize a wide variety of legal documents accurately. This includes dockets, binders, tabs, exhibits, and tables of contents.
  • Prepare and file time-sensitive documents with various state and federal trial and appellate courts, including through the federal ECF system.
  • Provide guidance on the categorization and organization of firm and client files, including the formulation and implementation of standard naming conventions and practice-specific checklists.
  • Perform a variety of file maintenance tasks for paper and electronic files in compliance with the firm’s policies. This includes creating files, documenting filing instructions, and retrieving files when necessary.
  • Assist attorneys and paralegals with non-billable fact gathering, research, data review, and data entry.
  • Provide general administrative support to attorneys such as maintaining contacts and tracking requirements and activity related to CLE and bar memberships.
  • Serve as the primary contact for vendors and managing the vendor/platform list.
  • Prepare and process outgoing mail and faxes, arranging for specialized mail or messenger services as required.
  • Work collaboratively with a team on various overflow projects such as preparing for filings, hearings/trials, and depositions.
  • Assist, prepare, and manage various printing requests for client matter projects.
  • Coordinate with other areas/departments within the firm to develop efficient procedures/communications to streamline processes.
  • Other duties as assigned.

Education/

Experience:
  • 1-5 years related experience required.
  • Experience using the federal courts’ ECF system preferred.
  • Bachelor's degree preferred; at least associate degree required.

  • Must be able to read, write, and speak fluent English.
Physical Demands:
  • This job requires remaining in a stationary position, often standing or sitting for prolonged periods.
  • Working long hours might be required.
