Salary Range: $45,000.00 To $52,000.00 Annually

(Chicago/Hybrid) The Human Resources Coordinator will be the first point of contact for all general employee inquiries. The HR Coordinator will provide administrative support for several human resources functional areas including but not limited to personnel file management, recruitment, and event planning in accordance with applicable laws and internal policies and procedures. This position is a part of a team that has a direct impact on the organization’s culture.
The position is based in our Chicago headquarters.
For the position of HR Coordinator, we require a High School Diploma, General Educational Development or Equivalent. Additionally, preferred education or background for this position:
Bachelor’s degree in Human Resources, Business, Organizational Psychology, Labor Relations, or related field or equivalent experience. Minimum of 2- 3 years of HR experience with exposure to several HR functional areas in a medium to large organization. Experience managing calendar for department and multiple team members. Experience working in nonprofit organizations is preferred.
- Create and maintain all personnel files (paper and digital) and related documents ensuring all documents are received, complete, accurate, and filed timely. Audit files at regular intervals and as requested.
- Ensure all new hire paperwork follows company policies and legal compliance.
- Create, update and maintain all HR checklists, including but not limited to new hires, terminations, and temporary staff.
- Complete and file employment verifications.
- Update and maintain required elements of ADP Workforce Now related to employee records and communications.
- Serve as a liaison to on-boarded employees and the new hire process
- Oversee all pre-employment activities for new hires and streamline logistics associated with all aspects of onboarding
- Conduct pre-employment reference and background checks
- Coordinate with managers the status of new hires and orientation schedules
- Provide new hires with explanations of benefits and assist with enrollment.
- Assist employees with first level benefit questions
- Assist with the recruiting process to include entering candidates into applicant tracking system, scheduling potential applicants for interviews, greeting applicants and coordinating in-person and video interviews.
- Plan, coordinate, and execute company events to include recommendations, proposals, budgets and staff communications.
- Act as a liaison with external vendors to communicate accurate and comprehensive information.
- Functional knowledge of Human Resources through hands-on experience or any similar combination of education and experience
- Experience managing calendar for department and multiple team members
- High-level proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, and Publisher). Experience using One Note is highly desired
- Experience utilizing applicant tracking systems and HRIS as an administrator is required.
- Experience with ADP Workforce Now.
- Excellent written and verbal communication skills.
- Exceptional attention to detail and proofreading abilities that does not hinder meeting deadlines
- Exceptional interpersonal skills with the ability to establish effective relationships and maintain sensitivity, confidentiality, and discretion with a wide range of individuals and management levels
