About the Role
The Americas HR Coordinator provides essential support to a regional HR organization, ensuring the smooth execution of administrative, operational, and reporting activities. This role works closely with HR leadership and cross-functional teams across projects, operations, talent development, and talent acquisition to support core HR programs and processes.
Responsibilities range from invoice coordination and reporting cycles to HR leader onboarding and large-scale HR event logistics. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced HR environment.
Key ResponsibilitiesHR Leadership & Administrative Support
- Provide administrative support to HR leadership, including travel coordination, expense reporting, meeting scheduling, and coordination of team recognition gifts (thank-you, congratulatory, and milestone acknowledgments).
- Support preparation and logistics for HR town halls and internal learning series presentations.
Invoice & Financial Coordination
- Manage HR-related invoice processing and billbacks, including legal billing, special projects, contractor and taskforce billing, translation services, employee support services, and first aid-related billing.
HR Leader Onboarding & Workflow Management
- Maintain and update HR leader workflows, including system ticket setup for new leaders, leadership movement updates, weekly movement communications, and onboarding/offboarding documentation.
- Coordinate twice-yearly HR leader orientation sessions, including scheduling, communications, and materials.
Communications & Reporting
- Assist with HR communications, including internal channel postings, monthly reporting cycles, and coordination of the HR content calendar.
- Compile, create, and distribute talent development reports, including Individual Development Plans, mid-year and end-of-year check-ins, compliance training, and participation reporting for development programs.
Talent Development & Program Support
- Maintain talent development databases, including leadership development program participants and pipeline tracking.
- Support leadership development program logistics, including room bookings, materials preparation, participant communications, surveys, results tracking, and leadership assessment administration.
Talent Acquisition Support
- Provide reporting and tracking support for talent acquisition programs, including opt-in initiatives and university recruiting programs.
Workflow & Process Support
- Independently prioritize daily work, recommend process improvements, and escalate issues involving policy, risk, or financial impact as needed.
Experience & Qualifications
- 2–4 years of experience in HR coordination, administrative support, operations, or a related role.
- Experience with invoice processing, reporting, scheduling, or program coordination preferred.
- Experience supporting multiple leaders in a fast-paced HR environment.
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook).
- Experience with HR systems preferred.
- Strong organizational skills, attention to detail, and time management abilities.
- Ability to handle confidential information with discretion.
Education
- High school diploma required; college degree preferred.
