Job Summary

In partnership with the Managing Director – Human Resources, the Senior Specialist, HR Operations will support the fulfillment of the HR strategy from an Operations perspective in alignment with the strategic priorities of the business. This individual will be the primary go-to for day-to-day human resources responsibilities, including payroll and benefits planning and administration, HRIS administration, general employee support, HR compliance, and employee communications.

This role is best suited for a highly motivated individual with strong critical thinking, communication, and interpersonal skills as well as a high level of attention to detail.

Essential Functions
  • Administer the payroll process, including regular payroll, special payments, and termination payrolls, ensuring the accuracy of pay rates, deductions, and taxes in keeping with the payroll schedule and regulatory requirements
  • Manage the annual open enrollment process, including coordination of renewal and pricing, vendor transitions, system preparation, and employee communications, identifying and recommending annual changes and enhancements to benefit offerings.
  • Administer benefit plans, including oversight of enrollment, invoice reconciliation, and complex issue resolution and escalation
  • Manage statutory benefit programs such as unemployment insurance and workers’ compensation, ensuring timely claims processing and compliance with state and federal regulations
  • Manage HR vendor and technology relationships, acting as primary liaison and ensuring vendors meet expectations; make recommendations for vendor changes and enhancements to Managing Director, Human Resources
  • Evaluate existing HR technology against business needs and make recommendations for changes and enhancements as applicable
  • Administer HRIS and other vendor systems related to new hires, terminations, and employee and company data updates in a timely matter, including management of electronic employee files
  • Perform regular data audits to ensure data integrity across HRIS and other vendor systems
  • Respond to inquiries from employees regarding payroll, benefits, policies, processes, systems, employment verifications, etc. in timely fashion with a client service mindset
  • Administer leave of absence policies in conjunction with the payroll process and in keeping with appropriate regulations
  • In partnership with the HR Business Partner, manage new hire onboarding and offboarding process, including communications and conduct new hire orientation
  • Provide administrative support for learning and development programs as needed
  • Manage compliance training, including harassment prevention training, in keeping with state and local regulations
  • Maintain basic knowledge of legal requirements related to day-to-day administration of employment, reducing legal risks and ensuring regulatory compliance
  • Assist with disseminating HR communication via email, live format, and firm intranet
  • Promote diversity & inclusion, integrity, respect, performance, and care to cultivate the desired culture throughout the organization
  • Develop an environment of trust and confidentiality by building strong professional relationships with all team members and leadership
Qualifications
  • Bachelor’s degree or equivalent work experience required
  • 5+ years’ experience required in Human Resources Operations, including payroll and benefits administration, in a professional services environment
  • Proven technical ability with Microsoft Office, including Microsoft Excel
  • Excellent written and oral communication skills required
