We have a fantastic opportunity for a Human Resources Coordinator based in our Corporate office in Chicago, IL. The successful candidate will work on-site in the West Loop office and report to the HR Director. The HR Coordinator will focus on providing administrative and operational support across key human resources functions, including reporting and analytics, compliance, recruiting, onboarding, HRIS administration, employee relations, benefits.

This role requires advanced computer skills with strong organizational skills, attention to detail, and the ability to work independently in a fast-paced environment.

Essential Job Accountabilities:

Reporting & Analytics
  • Prepare HR reports such as turnover, headcount, attendance, and recruiting metrics.
  • Support internal and external audits by gathering and verifying HR documentation.
  • Organize and analyze data in reports as needed.
  • Create organizational charts in Excel, Visio, or PowerPoint.
Compliance & Policies
  • Support compliance with federal, state, and local employment laws.
  • Assist in developing and distributing HR policies, procedures, and SOPs.
  • Track required training and employee certifications.
  • I-9 compliance
Employee Records & HRIS Administration
  • Maintain accurate and up-to-date employee files (electronic and physical).
  • Enter and update employee information in the HRIS system.
  • Ensure compliance with recordkeeping requirements and confidentiality standards.
  • Review and update the Employee Handbook.
  • Organize HR files and document management systems.
  • Assist with ADP Workforce Now HRIS implementation.
Employee Relations & Communication
  • Serve as the first point of contact for routine HR inquiries.
  • Assist in coordinating employee engagement activities, including events, recognition programs, and surveys.
  • Support positive employee communication through announcements, and updates.
  • Attend HR meetings and complete follow-up actions as assigned.
  • Assist with posting job openings on job boards, the company website, and social media platforms.
  • Support recruiting by screening resumes and coordinating interview scheduling in MS Teams with candidates, recruiters, and hiring managers.
  • Perform industry related research
  • Support the new hire onboarding program.
  • Coordinate orientation schedules and maintain onboarding materials.
Benefits Administration
  • Assist with open enrollment activities, communications, and tracking.
General Administrative Support
  • Schedule meetings, interviews, trainings, and other HR-related events.
  • Prepare HR correspondence and documentation.
  • Support special HR projects as assigned.
  • Revise job descriptions when needed.
Education & Experience
  • Minimum of 3 years of experience working in Human Resources.
  • Superior computer skills with the ability to produce high-quality documentation.
  • Proficient in MS Office applications with advanced skills in Excel.
  • Strong ability to collect, analyze, and interpret data for accurate reporting.
  • Outstanding communication skills with a positive, professional demeanor.
  • High attention to detail and exceptional time-management skills.
  • Strong analytical and problem-solving abilities.
  • Ability to multi-task effectively in a fast-paced environment.
  • Ability to work independently and self-direct, while also functioning effectively in a team environment.
  • Work is performed in an office environment.
  • Must comply with all safety standards and regulations and use proper PPE as required.
