Position Purpose

Performs diverse administrative, secretarial and outreach duties for the Community Wellness Program under the of the Director or Senior Manager.

Essential Functions
  • Develops, implements and monitors systems to ensure smooth and effective operations at the Community Wellness Program. Includes creating and maintaining filing system; inputting information into databases; creating and updating forms, lists, spreadsheets, and other program materials; typing and disseminating meeting minutes; maintaining tidiness in common areas and where supplies are kept; and other administrative functions.
  • Answers telephone, routes callers, takes messages and provides routine information to callers. Opens and routes incoming mail; distributes correspondence and other material to managers and department staff. Must be bilingual and have good customer service skills.
  • Provides intake for clients and tasks cases to appropriate team. Facilitates appropriate medical and social service referrals. This may occur via fax, email, phone or other means. Responsibility also includes staying informed and updated about community and safety-net resources.
  • Manages office supplies and equipment maintenance.
  • Coordinates outreach to community health fairs and related activities for Community Wellness and the Hospital generally.
  • Performs other duties or special projects as requested.
Marginal Functions
  • Performs both essential and marginal job functions in a safe manner as identified by Saint Anthony Hospital and the respective department while adhering to the Hospital’s confidentiality norms and standards. Actively and consistently demonstrates the core values of Saint Anthony Hospital in all interactions with others.
  • Assumes responsibility for knowing and maintaining established hospital and departmental objectives, policies/procedures including general sanitation, safety, environmental and infection control standards.
  • Participates in performance activities including problem identification, data collection, solution selection, implementation and evaluation. Also assists in the care and maintenance of departmental equipment and supplies as appropriate.
  • Participate in staff meetings and other in services, meetings or committees as required.
General

Job Requirements
  • Bilingual in English and Spanish.
  • Associates degree (Bachelor’s degree preferred) or at least 1 year of administrative and/or clerical-related experiences.
  • Excellent interpersonal skills.
  • Strong written and oral communication skills.
  • Track record of excellent customer service.
  • Strong command of computer-based skills and technology including Microsoft Office products, internet research, and data entry.
  • Strong organizational skills and ability to multitask.
  • Ability to work well both independently and as a member of a team.
  • Self-starter and ability to problem-solve.
  • Ability to travel throughout community.
