The Patient Service Representative is responsible for processing and updating patient information, scheduling appointments, and organizing the front desk to ensure a proper and efficient process. They greet all patients and clients professionally. Bilingual (English & Spanish) is a bonus, not required. Full- and part‑time positions are available.
Essential Duties And Responsibilities- Greets patients and visitors, determines their needs, and directs them accordingly.
- Provides new patient information sheets and ensures completeness and accuracy.
- Processes necessary documentation, including registration, insurance verifications, initial fee collection, and routing to the appropriate clinic, personnel, or department.
- Verifies patient’s insurance status on established patients and notes insurance status on the super bill.
- Enters and maintains demographic data for patients in Health Pro and attaches a copy of patient’s insurance information, , or claim to the super bill.
- Assists clients in completing necessary forms for registration and medical records requests.
- Collects co-payments during patient check‑in.
- Ensures the client receives quality and professional customer service throughout their visit.
- Practices proper telephone etiquette at all times.
- Handles incoming phone calls; answers questions, provides information, directs calls, and takes messages.
- Returns patient messages for scheduling appointments.
- Schedules physician appointments, retrieves appointment lists for the next business day, and makes/checks off appointments per physician guidelines.
- Cancels and reschedules appointments as necessary.
- Prints appointment schedules for nurse and physician check‑off.
- Calls to remind patients of scheduled appointments the day before.
- Schedules patients’ next appointments.
- Collects fees for patients when lab work is needed and processes payments on balance.
- Organizes super bills in insurance order, ensuring none is missing.
- Compares super bill count to the number of patients on the sign‑in sheet.
- Processes charge entry and maintains client confidentiality.
- Prepares front desk area for the next business day.
- Takes initiative to improve organization, efficiency, and customer service.
- Back‑ups front- and back‑office personnel as needed.
- Deals tactfully and effectively with patients, visitors, staff, and physicians.
- Maintains regular and reliable attendance.
- Performs other duties as assigned.
- High School Diploma/GED.
- Minimum of one (1) year of customer service experience.
- Minimum of one (1) year of medical billing experience.
- Knowledge of Health Pro and GE Centricity software preferred.
- Able to work independently.
- Willing to travel to other sites as necessary.
- Able to adapt to change and maintain a professional demeanor.
- Able to handle a fast‑paced diverse workplace in a team environment.
- Excellent interpersonal/oral communication skills.
