About the Department

The Department of Radiology has more than 100 full‑time faculty members, clinical associates, advanced practice providers, and postdoctoral researchers. It offers patient care, basic, clinical, and translational sciences in a top academic institution. The department runs ACGME radiology residency programs (Diagnostic Radiology – 29 trainees, Interventional Radiology – 10 trainees) and fellowship programs (Abdominal Imaging – 2 trainees, Neuroradiology – 4 trainees).

Unaccredited fellowships, breast imaging, musculoskeletal imaging, cardiopulmonary imaging, medical student electives, clerkships, and observerships are also available.

Job Summary

Provide professional support and solve straightforward problems related to the operations of accredited and non‑accredited residency and fellowship training programs. Oversee accreditation, duty schedules, evaluation, recruitment, Match process, orientation, and graduation, and ensure compliance with regulatory bodies.

Responsibilities
  • Provide administrative leadership and operational oversight for residency, fellowship, clerkship, and elective programs.
  • Manage the program lifecycle, from recruitment and onboarding to evaluations, scheduling, orientation, and graduation.
  • Coordinate all accreditation processes and maintain documentation for ACGME, RRC, ADS, CCC, PEC, and institutional requirements.
  • Monitor compliance with program and institutional policies, accreditation standards, and regulatory requirements.
  • Oversee licensing, credentialing, contracts, and related documentation.
  • Track program expenditures, manage trainee reimbursements, and support budget planning and financial reporting.
  • Serve as the primary liaison between program leadership, faculty, trainees, institutional offices, and external accrediting bodies.
  • Maintain and update program databases and records; prepare reports and data summaries for accreditation, recruitment, and evaluation.
  • Support the annual recruitment and Match process, coordinating applicant communications, interviews, and logistics.
  • Develop and implement program policies and procedures for operational consistency and compliance.
  • Provide guidance to residents, fellows, and faculty on program policies and professional development.
  • Coordinate special events, meetings, and program-related activities such as orientations, retreats, and graduation ceremonies.
  • Identify opportunities for process improvement and enhance program efficiency and trainee experience.
  • Engage in day‑to‑day operations and ensure compliance with ACGME, RRC, and other organizations.
  • Handle licensing, moonlighting, contract, and re‑credentialing of trainees.
  • Perform other related duties as assigned to support the department’s educational mission.
Education and Qualifications

Minimum Qualifications
  • College or university degree in a related field.
Work Experience
  • 2–5 years of work experience in a related discipline, preferably in graduate medical education administration.
Preferred Qualifications
  • Education: Bachelor’s degree in a related field.
  • Experience:
    • Prior administrative or operational experience in graduate medical education.
    • Experience with GME digital programs such as ERAS, VSAS, Med Hub.
    • Experience with University of Chicago purchasing systems, GEMS, and ePayment.
    • Familiarity with technology platforms such as UChicago Box, Microsoft Teams, Canva, Asana.
  • Competencies:
    • Strong understanding of GME structures, accreditation standards, and regulatory requirements.
    • Ability to interpret and apply policies, ensure regulatory compliance, and handle confidential information responsibly.
    • Excellent analytical, organizational, and prioritization skills.
    • Financial literacy for tracking budgets and reimbursements.
    • Effective communication skills for interacting with trainees, faculty, and leadership.
