About the MHSSPACSThe American College of Surgeons (ACS) and the US Department of Defense Military Health System (MHS) formed the Military Health System Strategic Partnership American College of Surgeons (MHSSPACS) to improve educational opportunities, systems-based practices, and research capabilities in surgery. The strategic partnership—launched December 2014—will facilitate collaboration and the exchange of information between ACS and MHS to advance high-quality, cost-effective care for surgical patients.
SummaryThe Membership Programs Coordinator provides comprehensive administrative, operational, and programmatic support to the Manager, Military Health System Strategic Partnership (MHSSPACS), with primary responsibility for supporting the Excelsior Surgical Society (ESS) (approximately 60% of the role), and to the Associate Vice President, Member Services, with a focus on Member Affinity Programs (approximately 40% of the role). The coordinator collaborates closely with ACS Fellows, ESS members, volunteers, and internal and external stakeholders to manage the ESS membership lifecycle, implement annual programmatic initiatives, and develop and execute the ESS Clinical Congress events.
In addition, the coordinator manages and promotes the ACS Affinity Programs that enhance engagement and deliver value to Fellows and members across all career stages.
This exempt position will report to the Manager, MHSSPACS, and coordinate with the Associate Vice President, Member Services. It is based in our Chicago office and is a hybrid role: 3 days per week in the office / 2 days per week remote.
The anticipated salary range for this position is $56,650 - $63,000 (commensurate with related experience).
Responsibilities1. Administrative and Programmatic Support
- Manage the complete ESS application and membership lifecycle processes, including dues collection, in collaboration with internal teams (Information Technology and Accounting)
- Oversee the ACS membership database and related documentation systems, and track key processes and communications, ensuring accurate records
- Lead the execution of monthly ESS webinars, the coordination of ESS Committee meetings, and support the implementation of ESS Committee-related activities
- Oversee the updates to the MHSSPACS/ESS and relevant Membership web pages in collaboration with internal partners
- Manage the day-to-day administration and operational execution of Member Affinity Programs, including maintaining and optimizing web content, coordinating and executing marketing campaigns, facilitating vendor meetings and follow-up, supporting contract administration, and monitoring program performance to enhance member engagement and program growth.

- Schedule, coordinate, and support in-person, hybrid, and virtual meetings
- Draft meeting agendas, minutes, reports, charts, slides, presentations, and communications as needed
- Provide timely, accurate, and professional customer service to internal and external constituencies and stakeholders
- Build positive, professional relationships that support program goals and member engagement
- Assist with routing member inquiries about affinity programs
- Co-lead with planning and execution of events associated with the annual Clinical Congress, and other exhibits and meetings as needed
- Support program leaders and internal team members before, during, and after events
- Track inventories and manage event-related materials and supplies
Education and/or Experience
- Bachelor’s degree from an accredited college or university is required.
- 2+ years of professional experience in project coordination, committee support, database management, and/or customer service is preferred.
- Experience with CRM/database systems and digital platforms is required.
- Familiarity with the military is a plus.
