Provide high-level administrative support to multiple corporate executives of Prime Healthcare Illinois Medical Group. Based at Resurrection Medical Center, this role offers exposure to physicians, executives, and healthcare leadership, along with significant opportunities for professional growth and development.
The ideal candidate is adaptable, proactive, and self-motivated, with exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities efficiently. Must be comfortable handling sensitive information accurately and remain professional and composed under pressure, with strong interpersonal skills to collaborate effectively with executives, physicians, and internal teams.
- Provide administrative support to multiple corporate executives, including scheduling meetings, managing calendars, and coordinating appointments.
- Maintain office operations at Resurrection Medical Center, overseeing supplies, technology, cleanliness of shared spaces, and coordination with IT, maintenance, security, food & beverage, and EVS teams.
- Upload, track, and maintain contracts and related documents for legal review; manage records to show status and proactively alert stakeholders to pending actions.
- Maintain and update physician directories, including Excel management using basic formulas, column adjustments, and data organization.
- Prepare meeting notes, contact lists, reports, and other documentation with accuracy and attention to detail.
- Manage multiple priorities simultaneously, follow processes, and ensure deadlines are met in a fast-paced, high-level executive environment.
- Proficient in Microsoft Word and Excel (basic formulas, adjusting/hiding columns).
- Experience with PDF software (Adobe Reader or similar).
- Skilled at handling sensitive information with discretion and accuracy.
- Occasional travel to support one of eight hospital sites (approximately 1–2 times per month).
- High school diploma or equivalent required; college degree preferred.
- 1–2 years of administrative or secretarial experience preferred.
- Strong verbal and written communication skills, with the ability to compose professional correspondence.
- Proficient in Microsoft Office:
Word, Excel, and PowerPoint. - Positive attitude, willingness to learn, and proactive approach to work.
- Additional language skills are a plus.
