We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive administrative support in a fast-paced environment. This role requires someone who can work independently with minimal supervision, manage competing priorities, and maintain a high level of professionalism and confidentiality.
* Must be willing to go onsite 4 days per week to the Downtown office!*
Position Summary:
- Prioritize competing demands and anticipate scheduling needs
- Coordinate domestic and international meeting logistics and travel arrangements
- Process invoices and prepare, review, and submit expense reports
- Perform data entry and maintain accurate records
- Draft internal announcements and professional communications
- Prepare meeting materials, agendas, and follow-up documentation
- Provide backup support for administrative counterparts as needed
- Support special projects and additional operational needs as assigned
- Collaborate closely with the Executive Assistant to ensure seamless team and leadership support
- Handle confidential information with discretion and professionalism
- 3+ years of administrative experience in a professional office environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with expense management and invoice processing systems (preferred)
- Strong written and verbal communication skills
- Exceptional organizational skills with the ability to manage multiple, competing priorities
- Ability to work independently and exercise sound judgment
