This role will provide administrative services and support for 2 Executive Management Group members. The Executive Assistant will serve as the primary point of contact for internal and external constituencies on all matters pertaining to these executives. The position requires the ability to work under pressure, handle a wide variety of activities and confidential matters with discretion, and attend the office five days per week, with flexibility in working hours.
TheKey Responsibilities of the Role Include
- Manages complex and heavy daily calendar management including meetings, appointments, conferences and outside engagements.
- Coordinates travel arrangements for domestic and international travel and prepares travel itineraries.
- Monitors e‑mails, screens telephone calls and visitors, and provides general assistance.
- Prepares internal and external correspondences, reports and presentations.
- Communicates and acts as a liaison between the executive, managers and clients in coordinating meetings, responding to inquiries and special requests.
- Organizes, prioritizes, and coordinates assignments / events.
- Handles finance and expense management for senior management/executives such as invoices and expense processing.
- May work on special projects, such as gathering, inputting and compiling information for reports as required by manager or other partners in the department.
- May transcribe notes for senior management/executives.
- Maintains and organizes paper and electronic files.
- Delivers a work product that requires less revision.
- May have direct interaction with committees and/or other senior management/executives.
- May greet or assist clients and/or vendors.
- 10+ years of administrative support experience working with senior, C‑level executives.
- Availability to work 5 days a week in the office.
- Excellent oral and written communication skills.
- Analytical and problem‑solving skills.
- Proven experience working in fast‑paced environments and navigating within large organizations.
- Technical skills / systems knowledge, e.g., Microsoft Office, PowerPoint, Excel.
- A college or university degree and/or relevant administrative support experience.
$61,500 to $115,000.
Salary range is a good‑faith estimate of base pay. Northern Trust provides a comprehensive benefits package including retirement benefits (401(k) and pension), health and welfare benefits (medical, dental, vision, spending accounts and disability), paid time off, parental and caregiver leave, life & accident insurance, and other voluntary and well‑being benefits. Northern Trust also provides a discretionary bonus program that may include an equity component.
