Job DescriptionWe are seeking a polished and proactive Executive Assistant to support senior executives in a fast‑paced corporate setting. This individual will serve as a key administrative partner to leadership while also acting as the first point of contact for the executive office. The ideal candidate is professional, detail‑oriented, highly organized, and comfortable working in a visible, front‑facing role.
Key Responsibilities- Manage complex executive calendars, including scheduling meetings and coordinating internal and external communications
- Arrange domestic travel and prepare detailed itineraries; process expense reports through an online expense management system
- Coordinate onsite and offsite meetings, events, and conference logistics, including catering and materials preparation
- Draft and format professional correspondence, reports, agendas, and presentation materials
- Serve as the first point of contact for visitors and callers, providing a professional and welcoming experience
- Maintain attendance tracking and executive office documentation
- Oversee incoming mail distribution and office supply inventory
- Assist with high‑level document production, binding, and presentation materials
- Support additional administrative and project‑based tasks as assigned by executive leadership
- Minimum of 4 years of experience in an administrative or executive support role
- Prior experience supporting VP‑level or C‑suite leadership preferred
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with travel coordination and expense management systems (e.g., Concur or similar platforms)
- Excellent organizational skills with strong attention to detail and accuracy
- Ability to manage multiple priorities and adapt to changing deadlines
- Professional demeanor with strong written and verbal communication skills
- Demonstrated ability to handle confidential information with discretion
- Experience assisting with meeting planning and corporate events preferred
- Self‑motivated and able to work independently with minimal supervision
- Highly visible role seated at the executive office reception area
