We are partnered with a tech-start up based in Chicago that is looking for an Executive Assistant/Senior Executive Assistant to join their team. This is a fully on-site and full time position at their office in the River North area of Downtown Chicago.
Role OverviewThis role supports approximately five senior leaders and is not transactional or reactive. It requires strong judgment, exceptional organization, and the ability to anticipate needs, manage complexity, and bring structure to busy executive schedules.
This role is fully in-office and ideal for someone who thrives as a central point of coordination and enjoys being trusted with responsibility, discretion, and follow-through.
As Executive Assistant, you will play a critical role in supporting company executives by managing complex calendars, coordinating meetings, and handling day-to-day operational needs that allow leaders to stay focused on strategic priorities.
You will own multi-party scheduling across several executives, serve as a central intake point for requests and questions, and ensure meetings are well‑prepared, well‑run, and followed through on.
While travel logistics are handled separately, this role will frequently coordinate business dinners, working sessions, and internal team meetings. Success in this role comes from attention to detail, calm execution, strong communication, and the ability to anticipate needs before they become issues.
What You’ll Own- Provide dedicated administrative and operational support to Finance and Commercial executives
- Manage complex calendars across multiple leaders, prioritizing requests and resolving conflicts
- Serve as a primary intake point for scheduling, questions, and administrative requests
- Coordinate internal and external meetings end to end, including agendas, materials, logistics, and follow‑ups
- Prepare, organize, and maintain documents, presentations, and briefing materials
- Arrange business dinners and working meals, including restaurant research and reservations
- Track action items, next steps, and requests to ensure timely follow‑through
- Maintain organized records of meetings, materials, and communications
- Anticipate scheduling or logistical challenges and proactively resolve them
- Handle sensitive information with discretion, professionalism, and sound judgment
- 5-7 years of experience in an executive assistant or administrative support role
- Experience supporting multiple leaders simultaneously
- Strong background in calendar management, meeting coordination, and administrative workflows
- Experience working in fast‑paced, high‑expectation environments such as tech, finance, or startups
- Excellent calendar management and multi‑party scheduling capabilities
- Strong organizational and prioritization skills
- Clear and professional written and verbal communication
- Ability to prepare polished documents and meeting materials
- Proficiency in Microsoft Office, including Outlook, Word, PowerPoint, and Excel
- Strong follow‑up habits and action‑item tracking systems
- Highly organized, detail‑oriented, and dependable
- Calm under pressure and comfortable juggling competing priorities
- Proactive, anticipatory, and solutions‑oriented
