One of the top construction firms in Chicago is seeking an Operations Assistant to join their team. This fully in-office opportunity (Monday through Friday) offers the chance to make a meaningful impact on daily operations within a fast-paced, collaborative environment. This is an exciting opportunity for a highly organized and detail-oriented professional who takes pride in keeping processes running smoothly and efficiently.
The Operations Assistant will partner closely with leadership, project managers, and accounting to help drive administrative, financial, and project-related coordination that keeps projects moving forward and also manage the office services for the company. This position offers a competitive salary of $60,000–$63,000 with a comprehensive benefits package is included, featuring medical, dental, vision, life insurance, 401(k), and paid time off.
- Provide essential day-to-day operational support to leadership and project managers to ensure projects stay organized and on track
- Maintain accurate and up-to-date project documentation, including contracts, revisions, compliance files, and supporting records
- Assist with financial administrative functions such as invoice review, purchase order tracking, and expense verification
- Ensure both digital and physical filing systems remain organized, accessible, and audit-ready
- Serve as a liaison between vendors, subcontractors, and internal departments to coordinate documentation and scheduling needs
- Develop reports and tracking tools that offer insight into project progress and operational performance
- Monitor office and project supply levels and coordinate timely reordering
- Proactively identify ways to improve administrative workflows and increase overall efficiency
- Manage incoming calls and email correspondence, directing inquiries to the appropriate team members
- High school diploma or equivalent required; additional coursework or an Associate’s degree in Business, Accounting, or a related field is a plus
- At least one year of experience in administrative support, operations coordination, or accounting assistance preferred
- Strong attention to detail with the ability to maintain accuracy across multiple tasks
- Proficiency in Microsoft Office Suite, particularly Excel and Outlook
- Ability to prioritize competing responsibilities in a deadline-driven environment
- Professional written and verbal communication skills
- Comfortable working on-site five days per week in a team-oriented office setting
- Self-motivated, dependable, and proactive in identifying and solving problems
