Overview
A growing, technology-focused organization is seeking an experienced Executive Assistant to support senior leaders across Finance and Commercial teams during an important phase of company growth. This is a highly visible, coordination-focused role that helps ensure leadership operates efficiently, stays organized, and remains focused on strategic priorities.
This position supports multiple senior executives and requires strong judgment, exceptional organizational skills, and the ability to anticipate needs in a fast-moving, high-expectation environment.
This is a fully onsite role in Chicago and is ideal for someone who thrives in a central administrative function, enjoys ownership of operational details, and values discretion, reliability, and follow-through.
What You’ll Do- Provide administrative and operational support to Finance and Commercial executives
- Manage complex calendars across multiple leaders, prioritizing requests and resolving conflicts
- Coordinate internal and external meetings end-to-end (agendas, materials, logistics, follow-ups)
- Serve as a central point of contact for scheduling and administrative requests
- Prepare presentations, documents, and briefing materials
- Coordinate business dinners, working sessions, and internal team meetings
- Track action items and ensure timely follow-through on requests
- Maintain organized records of meetings, materials, and communications
- Anticipate scheduling/logistical challenges and proactively resolve them
- Handle sensitive information with professionalism and discretion
- 3–5 years supporting senior leaders in an executive assistant or administrative role
- Experience supporting multiple executives simultaneously
- Strong background in calendar management, scheduling, and administrative workflows
- Experience in fast-paced environments (tech, finance, startup, or similar preferred)
- Advanced calendar management and multi-party scheduling abilities
- Strong organization, prioritization, and attention to detail
- Excellent written and verbal communication skills
- Ability to produce polished presentations and documents
- Proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel)
- Strong follow-through and action-item tracking habits
- Highly organized, dependable, and detail-oriented
- Calm under pressure and comfortable juggling competing priorities
