Job SummaryThe Supply Chain Project Management Coordinator provides high‑level administrative support to the VP of Supply Chain, serving as a junior project manager for departmental initiatives. This role is responsible for keeping the VP’s operations running smoothly while simultaneously tracking project timelines, coordinating cross‑functional teams, and ensuring supply chain goals are met on time.
Detailed Responsibilities Support & Coordination- Managing day‑to‑day scheduling of the VP’s calendar.
- Coordinating with internal and external stakeholders on behalf of the VP.
- Ensuring all logistical details for internal meetings, off‑site meetings, board meetings, and client meetings are handled seamlessly.
- Producing entertainment activations and setup for meetings and presentations.
- Booking business travel and monitoring travel disruptions; availability evenings and/or weekends may be required.
- Demonstrating professionalism in communication via phone, email, and in person.
- Collaborating responsively and timely with the VP’s team, clients, and multidisciplinary leaders.
- Processing invoices and expense reports.
- Proposing ideas for follow‑up notes, gifts, cards, and awards.
- Conducting partner research and developing briefs for the VP and team.
- Assisting in the development of world‑class proposals and presentations, contributing to creative brainstorming and process improvements.
- Promoting a cooperative work climate, maximizing productivity and morale while navigating a high‑pressure, deadline‑driven environment.
- Maintain and update project trackers to keep initiatives on schedule and within scope.
- Facilitate communication between departments to ensure milestones are met and bottlenecks identified early.
- Assist in creating and editing professional presentations for quarterly business reviews and board meetings.
- Organize and lead project “status update” meetings, clarifying next steps for all stakeholders.
- Execute special projects as assigned, including researching vendors and planning large‑scale department events or off‑sites.
- Draft professional emails, announcements, and follow‑up notes on behalf of the VP.
- Foster strong working relationships across the organization through timely communication.
- Manage culture tasks such as organizing team awards, vendor gifts, and recognition programs to maintain high morale within the department.
