Overview

The Event and Administrative Coordinator provide administrative and logistical coordination for events, meetings, and program operations. This role manages registrations, records, payments, and event logistics while supporting day-to-day office functions. Strong organization, accuracy, and follow-through are essential to ensuring smooth operations and successful event execution.

Responsibilities
  • Coordinate event and meeting registrations and maintain participant records.
  • Process and track checks, payments, and deposits in accordance with procedures.
  • Reserve venues and meeting spaces; coordinate basic logistics, technology needs, and catering.
  • Schedule and support meetings, trainings, listening sessions, and events, including materials and follow-up.
  • Assist with expense tracking, invoicing, reimbursements, and vendor coordination.
  • Maintain calendars, administrative files, and program records.
  • Provide on-site administrative support for events as needed.
  • Maintain a checkout log for shared equipment and coordinate office supply ordering.
  • Provide office-specific administrative support, including:
  • OCIA paperwork processing and registration for the Office of Divine Worship
  • Grant documentation, reporting, and program record-keeping support for the Office of Human Dignity and Solidarity
  • Perform other related administrative duties as assigned.
Requirements
  • Bachelor’s degree preferred or equivalent relevant experience.
  • 1–3 years of experience in an administrative or coordination role.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks.
  • Proficiency with office technology and online registration systems.
  • Dependable, collaborative, and service oriented.
  • Availability for occasional evening or weekend events.
  • Respect for and support of Catholic Church mission and values.

This position has an hourly range of - $22.94 - $28.10. An employee’s pay within the salary range will be based on many factors including but not limited to: relevant education, qualifications, experience, skills, geographic location, and organizational needs.
