Summary
The Accounting Clerk primarily supports the AP/Purchasing Supervisor and the Accounting Department as needed.
Essential Duties & Responsibilities1. Assisting the AP/Purchasing Supervisor and performing Purchasing responsibilities as needed, including entering purchase order requisitions and communicating purchase order numbers to vendors and University departments.
2. Maintaining vendor database.
3. Obtaining and updating W-9's for all vendors.
4. Managing special projects.
5. Managing the preparation of annual 1099 NEC and
1099-MISC information returns.
6. Training new and existing University staff on the purchase order process and procedures.
7. Assisting with the collection of auditor-requested information.
8. Assisting the Accounts Payable Coordinator and performing AP responsibilities as needed, including verification of check requisitions; serving as backup during vacations.
9. Assisting the Controller and Assistant Controller with Accounting responsibilities as needed.
10. Performing clerical responsibilities for the department.
11. Performing all other duties as assigned.
The requirements listed below are representative of the knowledge, skill, and ability required.
1. High School Diploma or GED.
2. Two or more years of purchasing and/or accounts payable experience preferred.
3. Strong keyboarding skills and intermediate Excel abilities required;
PowerPoint desirable.
4. Strong interpersonal skills, including the ability to write routine correspondence independently and the ability to speak effectively to University staff and vendor representatives.
5. Ability to calculate figures, solve practical problems, and deal with a variety of variables in situations where some standardization exists.
6. Ability to work independently and as part of the staff team.
7. Service oriented skills.
