Office Administrator/ Coordinator
- Manage incoming phone calls, emails, and general correspondence
- Greet visitors and provide professional front-desk support
- Schedule meetings, appointments, and maintain office calendars
- Prepare and edit documents, reports, spreadsheets, and presentations
- Organize and maintain digital and physical filing systems
- Coordinate office supplies, vendor communications, and maintenance requests
- Provide administrative support to management, including special projects
- Take meeting minutes and distribute follow-up communications
- Maintain a clean, organized, and professional office environment
Knowledge & Skills:
- Excellent written and verbal communication skills
- Strong organizational, multitasking, and time-management abilities
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) or Google Workspace
- Ability to maintain confidentiality and handle sensitive information
- Professional demeanor with a strong customer service mindset
- Ability to work independently and collaboratively as part of a team
- Experience with scheduling software and/or CRM systems preferred Basic bookkeeping or data-entry experience a plus
- Familiarity with standard office equipment (printers, scanners, phone systems)
Education and Experience:
- High school diploma required; associate or bachelor’s degree preferred
- 1–3 years of administrative or office support experience
Work Environment & Physical Requirements:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, and fax machines. Position requires incumbent to see, read, hear, speak, reach, bend, sit/stand for prolonged periods of time at a desk and working on a computer. Ability to work weekends and holidays as needed.
