We are seeking an experienced and proactive Legal Assistant to support a Real Estate practice group in a Chicago-based office. The ideal candidate is resourceful, detail-oriented, and thrives in a collaborative environment, providing high-level administrative and transactional support to attorneys handling complex commercial real estate matters. This role offers the opportunity to build strong internal and client relationships while contributing to high-quality work in a fast-paced professional setting.
Responsibilities- Edit, format, and proofread legal and transactional documents in Microsoft Word and Excel, including applying styles, headings, and formatting consistency
- Submit new matters for intake and conflict checks
- Process and maintain daily time entry
- Support attorneys with matter administration and client billing, including following client billing policies and procedures
- Coordinating with client administrative personnel
- Reviewing and editing pre-bills
- Assist attorneys with preparation for commercial real estate closings
- Prepare and organize closing binders and follow up on post-closing requirements
- Assist in creating and editing PowerPoint presentations
- Maintain strict confidentiality related to firm and client matters
- Manage attorney calendars, scheduling, and logistics, including appointments and meetings, conferences and travel arrangements, and expense reimbursements
- 3–5 years of legal secretarial or legal assistant experience in a real estate environment, including support through all phases of real estate closings
- Strong organizational skills with the ability to prioritize multiple tasks and meet competing deadlines
- Excellent communication and client service skills
- Advanced technical proficiency required, including strong working knowledge of Microsoft Word, Excel, Outlook, iManage, and Aderant
- Highly detail-oriented, proactive, and collaborative with a willingness to take initiative and learn new tasks
- Experience supporting major institutional investors and commercial real estate transactions is a plus
- Knowledge of legal and real estate terminology is a plus
- High School Diploma required; additional education and/or professional certification preferred
