A leading, privately held capital markets and structured finance platform is seeking a senior-level Executive Assistant to support its President and senior leadership team. This is a highly visible, trusted role for a polished professional who thrives in fast-paced, transactional environments and enjoys operating at the center of deal flow, client engagement, and executive decision-making.
This position provides high-level, confidential, and proactive support to multiple senior leaders and plays a critical role in ensuring seamless execution across business development, transaction activity, and internal operations.
Location: Downtown Chicago, 5 days a week on-site, future flexibility for 4 days.
Responsibilities:
- Provide direct support to the President & Head of Strategy, Capital Markets, and multiple Senior Principals; indirect support to a broader team of 10–15 professionals
- Manage complex calendars, scheduling, and logistics for senior executives with demanding priorities
- Coordinate extensive domestic and international travel, itineraries, lodging, and expense management
- Serve as a polished point of contact for clients, lenders, attorneys, bankers, and internal stakeholders
- Organize and maintain electronic deal files, data rooms, and document workflows related to private placement and structured finance transactions
- Process and track NDAs and confidential documentation with legal, compliance, and counter parties
- Maintain and update transaction and offering registers
- Prepare, edit, and proofread presentations, marketing materials, and client-facing documents with exceptional attention to detail
- Assist in assembling pitch materials and transaction packages
- Screen, route, and draft sensitive correspondence while maintaining strict confidentiality
- Lead planning for client conferences, leadership meetings, and team events
- Coordinate agendas, materials, onsite logistics, catering, and follow-up
- Manage office operations, vendor coordination, mail, and supplies
- Act as liaison with Legal, Compliance, Finance, and HR
- Support special projects and anticipate leadership needs independently
Ideal Background
- Bachelor’s degree or equivalent experience
- 10+ years of experience supporting C-suite or senior executives
- Background in capital markets, commercial real estate, investment banking, private credit, law firms, or institutional finance strongly preferred
- Experience in high-volume, transactions-driven environments requiring discretion and precision
- Advanced Microsoft Office skills (Outlook, Excel, PowerPoint)
- Exceptional communication, judgment, organization, and prioritization abilities
- Highly professional, proactive, and comfortable working with senior leadership
