Project Assistant Job Description
This is a full-time position. Typical days and hours of work are Monday through Friday 9:00 a.m. to 5:00 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:00 a.m. to 5:00 p.m. and must work 35.0 hours each week to maintain full-time status.
Duties and Responsibilities- Keep the CTS system updated and accurate.
- Provide regular status updates to attorneys and team members on assigned matters.
- Enter and maintain accurate time entries in the firm’s billing system.
- Prepare, file, and serve court documents in accordance with court rules and deadlines.
- Edit, review, and process pre-bills and client invoices for accuracy and compliance.
- Assist with billing corrections, expense entries, and follow-up as needed.
- Ensure filings and billing records are properly documented and organized.
- Complete check requests and expense reports, including credit card charges for filing fees.
- Print, organize, and maintain emails and correspondence.
- Copy, scan, and organize signed documents.
- Prepare and/or update physical and electronic binders.
- Print and process documents received from clients and outside sources using firm software and systems.
- Perform other duties reasonably associated with a Project Assistant position.

Competencies- LANGUAGE
SKILLS:
Ability to read and interpret documents such as, conflict requests; attorneys’ requests; safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and memoranda; - MATHEMATICAL
SKILLS:
Ability to apply basic math concepts; - REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving day to day operations of department;
- TECHNICAL ABILITIES: Ability to work with software specifically designed, but not limited to, conflicts checks and docketing;
- ORGANIZATIONAL ABILITIES: Ability to classify and organize legal documents.
- High School Graduate or equivalent required;
- 2-year Associates degree a plus;
- 1 to 2 years Law Firm experience preferred;
- Proficiency in MS Office and Outlook, with special proficiency in records management and conflicts check related software;
- Proficient knowledge of scanning software;
- Good command of the English language, oral and written;
- Must be punctual;
- Must be able to classify documents, correspondence, pleadings, attorney notes, and drafts;
- Must be able to work independently with limited supervision;
- Must be accurate, with a strong attention to detail;
- Must be able to work in fast-paced environment within project time constraints;
$40,000–$55,000 based on experience.
