WHY WE THINK YOU WILL LOVE THIS ROLEThe Office Services Assistant provides essential administrative and operational support to ensure the smooth and professional daily functioning of the corporate headquarters. This role serves as the first point of contact for visitors and staff, manages front desk operations, and assists with a variety of office services activities. The ideal candidate demonstrates professionalism, reliability, and strong organizational skills while delivering a high level of customer service to both internal and external stakeholders.
WHATYOU WILL BRING TO THE ORGANIZATION
Essential Duties and Responsibilities Reception and Front Desk Operations
- Greet and assist guests, clients, and vendors in a professional and courteous manner.
- Answer, screen, and route incoming emails and messages promptly and accurately.
- Maintain a clean, organized, and welcoming reception area in alignment with corporate standards.
- Coordinate visitor access, security badges, and parking arrangements.
- Schedule conference rooms and assist with meeting setup and logistics.
- Manage incoming and outgoing mail, packages, and courier deliveries.
- Maintain inventory of office and breakroom supplies; restock and place orders as needed.
- Assist with document handling, including scanning, copying, and filing.
- Coordinate facility service requests and communicate maintenance needs to the Office Services Manager.
- Support company meetings and events, including catering coordination and room preparation.
- Provide general administrative support to the Corporate Services department and other teams as needed.
- Collaborate with HR, IT, and Facilities teams to support employee onboarding and office logistics.
- Maintain confidentiality and discretion when handling sensitive information.
- Ensure adherence to company policies, safety guidelines, and operational procedures.
- Identify opportunities for improving efficiency and enhancing workplace experience.
Starting salary between $50K -$60K
SKILLS AND EXPERIENCE WE WOULD LIKE YOU TO HAVE Qualifications- 2–4 years of experience in a receptionist, administrative, or office support role, preferably in a corporate environment.
- Strong communication and interpersonal skills with a professional and customer-focused demeanor.
- Excellent organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Knowledge of Facility and IT systems.
- Ability to manage multiple priorities while maintaining accuracy and composure in a fast-paced setting.
- Demonstrated reliability, initiative, and a collaborative team approach.
Please note: This position is based on-site at the company’s corporate headquarters and requires regular interaction with employees, executives, clients, and visitors. Occasional lifting of office supplies (up to 25 lbs) may be required. Standard business hours apply, with occasional flexibility for special projects or corporate events.
