Work Schedule: Monday–Friday, 8:00am–5:00pm

Hybrid schedule
: 3–4 days in office

Job Description:

Our client is seeking a polished and experienced Executive Assistant to provide high-level administrative support to multiple senior executives. This role requires strong judgment, exceptional organizational skills, and the ability to manage competing priorities in a demanding environment. The ideal candidate is proactive, detail-oriented, and comfortable working with executive leadership.

Key Responsibilities
  • Manage complex calendars for multiple executives, including scheduling meetings across time zones
  • Coordinate domestic and occasional international travel, including detailed itineraries
  • Serve as a liaison between executives and internal/external stakeholders
  • Handle executive correspondence, emails, and calls with professionalism and discretion
  • Prepare meeting materials, agendas, and presentations
  • Process and reconcile expense reports, ensuring accuracy and policy compliance
  • Maintain organized records, files, and confidential documents
  • Support special projects, research, and ad hoc initiatives as needed
  • Anticipate executive needs and help prioritize workload to improve efficiency
Qualifications
  • 5+ years of experience supporting senior-level or C-suite executives
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Experience with expense management and travel booking platforms (Concur preferred)
  • Proven ability to manage heavy calendaring for 2–3 executives
  • Excellent communication, organization, and time-management skills
  • Ability to work independently and handle sensitive information with discretion
  • Financial services or RIA experience is a plus
