Job Description

Pay Range: $25hr - $30hr

The Executive Assistant role supports senior leadership by managing administrative, coordination, and organizational activities.

This position is ideal for a fast learner with strong communication skills who thrives in a collaborative, fast-paced environment and enjoys building connections across teams and leadership groups.

Requirements / Must Have
  • Minimum 5 years of experience in a professional business support or executive assistant role.
  • Strong proficiency with Microsoft Office, Outlook, Calendar, and Microsoft Teams.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Ability to interact professionally with all levels of management.
Experience
  • Supporting senior executives and leadership teams.
  • Calendar management and meeting coordination.
  • Travel booking and expense reporting.
  • Managing competing priorities in a fast-paced environment.
Responsibilities
  • Arrange and coordinate internal virtual and in-person meetings and events.
  • Schedule and manage external meetings, events, meals, and gatherings.
  • Manage executive calendars, including scheduling, rescheduling, sending reminders, and resolving conflicts.
  • Coordinate meetings across multiple time zones.
  • Set up conference calls and video conferences for groups of all sizes.
  • Provide proactive communication to identify and resolve scheduling conflicts.
  • Arrange domestic and international travel, including air, hotel, and transportation.
  • Manage time, expense, invoice reporting, and reconciliation.
  • Order and coordinate employee and client gifts with suppliers and approvals.
  • Act as liaison for technical support and office-related needs.
  • Serve as gatekeeper and primary point of contact for supported executives.
  • Provide project management support, including meeting notes, follow-ups, and coordination of leadership meetings.
