This role is responsible for managing arbitration cases from intake through closure, ensuring compliance with procedural requirements, service level agreements, and established policies. The position involves case intake, document review, docket management, arbitrator coordination, fee assessment, and customer service, while maintaining accurate case records and meeting required deadlines.

Key Responsibilities
  • Manage case intake, including review of initial pleadings to ensure jurisdiction and procedural compliance
  • Process initial and subsequent pleadings, including answers, counterclaims, cross claims, and third-party claims
  • Draft deficiency notices and coordinate reservice of claims when necessary
  • Monitor case-related reports and deadlines to ensure compliance with service level agreements
  • Maintain the motions calendar, solicit responses, and prepare documentation for timely submission to arbitrators
  • Support administrative processing of motions and substantive issues for panel consideration
  • Assess applicable fees and evaluate fee waiver requests
  • Review challenges to arbitrators, solicit responses, and make recommendations to management
  • Determine appropriate panel composition, generate arbitrator lists, review for conflicts, and update panels as needed
  • Coordinate replacement of arbitrators due to conflicts or unavailability
  • Utilize electronic docketing systems and online dispute resolution portals to process case activity
  • Conduct financial reviews of settled or withdrawn cases and hearing awards and close cases within established time frames
  • Maintain accurate electronic and physical case files in accordance with established protocols
  • Provide customer service by responding to inquiries regarding arbitration procedures, case status, fees, and system usage
  • Prioritize workload effectively while meeting performance and deadline expectations
