Our Client, in the Financial Industry is seeking a detail‑oriented Case Coordinator to support the administration of arbitration cases, manage scheduling, and maintain accurate case records. This role requires strong organization, communication skills, and the ability to follow established procedures.
Job Title: Case Coordinator
Location: Chicago, IL
Pay Range: $23-26/hr
Mode: 3 days/week on-site
Type of work: Long-term contract
Responsibilities- Analyze arbitration pleadings and appoint arbitrators to cases.
- Manage arbitrator lists, rankings, conflicts, and replacements.
- Schedule and reschedule pre‑hearing conferences, hearings, and conference calls.
- Communicate dates and procedures to counsel and arbitrators.
- Maintain electronic and physical case files; file, scan, and archive materials.
- Publish memos, input case notes, and update hearing dates in the case system.
- Prepare, reserve, and recover hearing rooms; manage off‑site hearing locations.
- Fulfill digital recording requests.
- Answer general inquiries from parties and arbitrators.
- Process Arbitrator Oaths, Orders, expense reports, and vendor invoices.
- Review incoming emails and documents from central inboxes.
- Strong administrative and organizational skills.
- Excellent written and verbal communication.
- Ability to prioritize tasks and follow detailed procedures.
- Experience with electronic file management and databases is a plus.
- Able to handle routine tasks independently and complex ones with guidance.
