Customer Service Coordinator – Public Works Department
Position Summary:
The Customer Service Coordinator serves as the primary point of contact for property owners regarding Public Works issues. This role ensures timely and professional responses to inquiries, manages work orders, coordinates field staff, liaises with vendors, and supports operational needs to maintain a well-functioning and well-maintained property.
- Answer incoming calls and emails from property owners, providing courteous and professional customer service.
- Enter, track, and update work orders in the property management/work order system.
- Dispatch Roads & Grounds staff to address maintenance issues efficiently and accurately.
- Order materials, parts, and supplies needed for Public Works projects.
- Contact and coordinate with vendors for quotes, service requests, and project needs.
- Process vendor invoices for payment, ensuring accuracy and timely submission.
- Create and maintain property signage as required.
- Assist with scheduling and coordination of Public Works projects and special initiatives.
- Maintain accurate records of communications, work orders, and transactions.
- Support the department with general administrative tasks as needed.
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Previous experience in customer service, administrative support, or operations coordination.
- Strong organizational skills and ability to multitask in a fast-paced environment.
- Excellent verbal and written communication skills.
- Proficiency with computer systems, including Microsoft Office and work order management software.
- Basic knowledge of Roads & Grounds operations is a plus.
- Strong customer service and interpersonal skills.
- Attention to detail and accuracy.
- Problem-solving and proactive approach.
- Ability to prioritize and manage multiple tasks simultaneously.
- Team-oriented with a collaborative mindset.
