Overview

Secretary Part Time - St. Rita of Cascia Parish

The Archdiocese of Chicago serves more than 2.2 million Catholics in 216 parishes in Cook County and Lake County. The parish seeks a bilingual (English/Spanish) Receptionist/Office Assistant who is knowledgeable in computers (especially Microsoft Office), internet use, and familiar with Catholic Church policies. The role works with other parish staff and reports to the Pastor with the Operations Director as an immediate supervisor.

The hours include parish reception/administrative support and assistance to other staff as needed.

Responsibilities
  • Greet callers and guests, take messages and route calls as appropriate.
  • Provide information and assistance regarding parish activities to callers and guests.
  • Deliver a high level of hospitality to parishioners and non-parishioners.
  • Perform office functions such as copying, scanning, faxing, filing, mail sorting and scheduling meetings.
  • Record parishioner donations in the Parish Data System (PDS).
  • Maintain parish files in an orderly and timely fashion.
  • Record sacramental records and provide copies following Archdiocesan guidelines.
  • Record mass intentions to be celebrated and receive/pay for mass intentions, weddings, funerals and votives per policy.
  • Prepare correspondence and reporting using Microsoft Office and Google Docs; may draft correspondence for pastor’s signature.
  • Prepare special mailings and other projects; order and maintain office supplies and inventory (forms, papers, sacramental certificates, etc.).
  • Assist in the preparation of the weekly bulletin.
  • Support other assignments and projects as delegated by the pastor.
Qualifications
  • Experience in a parish or business office setting, or equivalent education/experience.
  • Strong knowledge of Microsoft Office products.
  • Excellent organizational and time management skills.
  • Strong verbal and written communications, multitasking, and interpersonal abilities.
  • Ability to work in a team environment with a service mindset.
  • Ability to identify issues and propose recommendations/solutions.
  • Ability to handle highly confidential information.
  • Strong drive to achieve results.
  • Understanding, respect and support of Catholic Church teaching, mission and values.
  • Availability to work afternoons and weekends.

Salary: $16.20 per hour. Pay within the range will reflect education, qualifications, experience, skills, location, and organizational needs.
