Position Summary

The Client Services Associate plays a vital role in supporting and enhancing Freeman’s reputation as a full-service auction house dedicated to exceptional client satisfaction. This front-office administrative position serves as a primary point of contact for a diverse client base, managing day-to-day inquiries and ensuring a seamless client experience. The role works closely with Specialists and Department Coordinators, as well as the Bid, Property, Consignment, and Accounting Departments.

Through daily interactions with clients and colleagues, Client Services supports and represents the Freeman’s brand with professionalism and care.

Key Responsibilities
  • Ensure the front office opens on time and is fully prepared for daily operations.
  • Answer incoming calls and assist clients directly or route inquiries to the appropriate team member.
  • Handle and/or direct inquiries related to bidding, invoices, payments, sales tax, shipping, post‑sale offers, and potential consignments.
  • On auction days, assist in‑person bidders with paddle registration, absentee bids, and telephone bid requests.
  • Process payments for walk‑in clients.
  • Schedule, manage, and monitor all client appointments.
  • Coordinate property pick‑ups and ensure items are prepared for timely release.
  • Assist clients with condition report requests for upcoming auctions.
  • Guide clients in navigating the Freeman’s website.
  • Coordinate same‑day courier services as needed.
  • Support special events and auctions as required.
  • Staff all previews when property is on display in the gallery.
  • Manage office supply inventory for staff.
  • Maintain a clean, organized, and professional conference area for client meetings, consignments, and pick‑ups.
  • Receive and distribute daily mail.
  • Other duties as assigned.
Education & Experience
  • Associate’s or Bachelor’s degree preferred.
  • 2–3 years of relevant administrative or concierge‑level experience; experience in the arts or auction industry is highly desirable.
  • Excellent interpersonal and communication skills, both in person and by phone.
  • Strong client‑service orientation with a polished, professional demeanor.
  • Proven administrative skills with the ability to respond effectively to client and colleague inquiries.
  • Availability to work on‑site Monday through Friday.
