Position: General Manager, Oak Brook, IL (On-site)
Senior Executive Assistant to the CEO, Chicago, IL (Hybrid)

Step into the world of finance with a firm that values innovation, teamwork, and results. This is a strategic, high-impact position supporting the CEO while partnering closely with the COO and senior leadership team. The role offers a unique opportunity to influence firmwide coordination, bridging executive priorities, board activities, and key external relationships to enhance alignment and operational excellence across the organization.

Responsibilities

• Serve as the principal executive assistant to the CEO: manage calendar and expenses, prioritize commitments, manage conflicts, streamline workflows, triage requests, ensure follow-through, and act as the CEO’s proxy where appropriate.

• Oversee travel logistics (domestic/international), itineraries, meeting preparation, and on-site support.

• Work with the COO / broader Operations group to ensure operational alignment and manage interlock points between strategy and execution.

• Anticipate needs in advance, ensuring the CEO is fully prepared for every meeting and engagement.

• Support administrative aspects of special and high-priority initiatives.

• Oversee CEO email and correspondence management: monitor and organize the CEO’s inbox, draft responses where appropriate, provide daily task summaries, and proactively flag urgent or time-sensitive matters to ensure timely attention and follow-through.

• Coordinate and plan leader-focused events: manage the logistics and execution of high-profile leadership gatherings (e.g., Global Leader Business Planning, strategy offsites, board/management retreats), ensuring seamless planning, alignment with executive priorities, and professional experience for all participants.

• Manage calendar aspects of the CEO’s personal and external commitments, including the CEO’s service on outside boards and professional organizations, and some limited personal travel and appointments – ensuring seamless integration with company responsibilities and minimizing scheduling conflicts.

• Support the Board of Directors’ calendar and administrative activities, including scheduling needs. Maintain board calendar, track director terms, and committee assignments.

• Plan and execute board and committee meetings: logistics, material compilation, and distribution (board books, slide decks).

Ideal Experience

• Bachelor’s degree in business, finance, operations, communications, or a related field.

• 8+ years supporting C-suite executives, ideally within financial services, investment banking, or professional services; public company experience a plus.

• Proven discretion and sound judgment in handling confidential information.

• Exceptional written and verbal communication skills; able to synthesize complex information for executive and investor audiences.

• Strong organizational and project management abilities; managing multiple priorities under tight deadlines.

• Skilled collaborator with the ability to influence and build relationships across all levels, including executives, board members, and cross-functional teams.

• Advanced proficiency in Microsoft Office (Excel, PowerPoint), virtual meeting tools, and familiarity with board governance or investor relations platforms.

• Strategic thinker with high initiative, adaptability, and attention to detail.

• Flexible availability during peak periods (earnings, board meetings, or other critical cycles).
