oor;bug⌢ Our client, a large international law firm is seeking a top-tier Administrative Assistant to support the Chief Human Resources Officer (CHRO) and senior HR leadership within a fast‑paced, highly professional corporate environment. This high‑visibility role requires exceptional organization, communication skills, discretion, and advanced Microsoft Office proficiency. The position is temporary to start, with the opportunity to transition to permanent employment based on performance and fit.
The role is currently vacant and the client is moving quickly.
- Provide executive‑level administrative support to the CHRO and multiple HR Directors
- Manage complex, high‑volume Outlook calendar scheduling with complete independence
- Schedule meetings, travel, conferences, and department‑wide activities
- Draft, edit, and proofread professional correspondence and email
- Create and edit PowerPoint presentations for senior leadership
- Prepare and submit expense reports, invoices, and check requests
- Run and format reports from an HRIS system (People Soft)
- Assist with employee recognition initiatives, including service and anniversary acknowledgments
- Maintain logs, audit records, files, and confidential documentation
- Serve as a liaison between HR, internal departments, and external contacts
- Answer and route calls, transcribe messages, and manage correspondence
- Support special projects and provide backup coverage for other HR administrative staff
- 3+ years of recent, consistent experience as an Administrative Assistant, Senior Administrative Assistant, or Executive Assistant
- Stable work history supporting senior leaders or executives
- Very strong PowerPoint skills (creating and editing slides)
- Working knowledge of Microsoft Excel
- Experience preparing expense reports
- Ability to work under quick direction in a corporate executive environment
- Exceptional written and verbal communication skills
- Professional presence and executive‑level polish (“top‑tier” caliber)
- Ability to provide or draft a writing sample for review
- Event planning or coordination experience
- Experience with Visio
- Familiarity with expense systems such as Chrome River
- Bachelor’s Degree preferred; either equivalent work experience or a minimum of a High School Diploma required
