What You’ll Do
As a Senior Executive Assistant, you will be a key partner in supporting investor-facing operations, ensuring that complex, high-stakes interactions run smoothly and efficiently. You will manage the details behind critical relationships and serve as a central connector across leadership, investors, and external advisors.
Key Responsibilities- Serve as a trusted liaison among investors, advisors, and internal leadership, exercising discretion and professionalism at all times
- Provide high-level administrative and operational support for investor relations in close collaboration with senior strategy and investment leaders
- Coordinate complex scheduling across multiple stakeholders and time zones, balancing shifting priorities
- Monitor and triage inbound communications, determine urgency, draft responses when appropriate, and ensure timely follow-up
- Organize investor meetings, calls, and events end-to-end, including agendas, materials, logistics, and post-meeting actions
- Plan and manage detailed travel arrangements for executives and investors, including flights, lodging, ground transport, and reservations
- Identify, engage, and manage vendors for meetings and events such as venues, catering, hotels, and transportation
- Support in-person and virtual investor gatherings, offsites, and hosted events with seamless execution
- Prepare, compile, and maintain materials for meetings, including presentations, briefing documents, and background resources
- Track deliverables, requests, and next steps related to investor engagement and strategic initiatives
- Maintain well-organized records of communications, meetings, itineraries, and documentation
- Anticipate potential scheduling or logistical challenges and resolve issues proactively
- Handle highly sensitive information with sound judgment and strict confidentiality
- Executive support or executive operations roles supporting senior leadership or C-suite executives
- Prior experience supporting investor, board, or advisory relationships
- Demonstrated ability to manage demanding calendars, priorities, and logistics independently
- Extensive experience coordinating travel, meetings, and events across time zones
- Background in fast-paced, high-accountability environments such as technology, finance, or venture-backed organizations
- Advanced calendar management and complex scheduling expertise
- Strong inbox management and prioritization skills
- Event coordination and vendor management capabilities
- Detailed travel planning and itinerary development
- Professional written communication and polished interaction with external stakeholders
- Proficiency in Microsoft Office (PowerPoint, Word, Excel), including preparing presentation-ready materials
- Effective systems for tracking tasks, follow-ups, and documentation
- Highly trustworthy with excellent judgment around confidential matters
- Exceptionally organized, dependable, and detail-focused
- Composed under pressure with a problem-solving mindset
- Proactive, anticipates needs, and follows through with precision
