We are seeking a proactive and detail-oriented Executive Assistant to provide high-level administrative support to a C-level and Legal executive, while also assisting with departmental operations. This role is well-suited for someone adaptable, highly organized mc and comfortable balancing competing priorities in a fast-paced environment. Strong communication skills, discretion, and professionalism are essential.

Responsibilities
  • Manage Outlook contacts and calendars; schedule and confirm meetings, coordinate communication, answer phones, and manage all delivery services
  • Handle all travel logistics, including itineraries and accommodations.
  • Plan and organize meetings; ensure presentation materials are prepared and updated.
  • Draft and prepare correspondence and documents as needed.
  • Prepare and maintain recurring and ad hoc meeting agendas.
  • Review and proofread documents and presentations to ensure accuracy and professionalism.
  • Maintain and organize legal files and contracts.
  • Coordinate with internal legal team and outside counsel on legal billing matters and other correspondence.
  • Timely process expense reports.
  • Collaborate with the team on day-to-day office activities and special projects as assigned.
  • Maintains a polite and professional demeanor with clients, vendors, and internal دنيا stakeholders.
Ideal Experience
  • Bachelor’s degree or equivalent experience; experience in the legal industry is strongly preferred.
  • 5+ years of experience providing executive-level administrative support, including handling confidential information.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with iManage is a plus
  • Ability to thrive in a fast-paced, entrepreneurial environment.
