Overview

A fast-growing tech company in Chicago is seeking an Executive Assistant/Office Manager to join their team. This role offers the chance to partner directly with a dynamic leadership team while playing a vital role in keeping daily operations running smoothly in a rapidly scaling environment. You will have a meaningful impact on organizational efficiency and contribute to company-wide initiatives as the business continues its exciting growth trajectory.

Responsibilities
  • Serve as the primary administrative partner to the executive team, expertly managing calendars, scheduling meetings, and coordinating travel.
  • Oversee day‑to‑day office operations, including supplies, vendor management, and workspace organization.
  • Support HR and onboarding activities, including scheduling interviews and assisting vendors and guests.
  • Plan team events, meetings, and company‑wide communications.
  • Prepare reports, presentations, and internal documents as needed.
  • Handle confidential information with professionalism and discretion.
  • Act as the go‑to point of contact for staff, visitors, and external partners.
  • Support employee onboarding alongside the Chief Administrative Officer.
  • Assist with special projects and operational initiatives to support company growth.
Qualifications
  • 3 or more years of experience in office management or administrative assistance.
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Excellent written and verbal communication skills; strong interpersonal skills.
  • Preference for experience supporting professionals in the financial services field.
  • Proficiency in Microsoft Office and Google Workspace; familiarity with financial systems.
  • Ability to work independently, take initiative, and thrive in a fast‑paced, evolving environment.
  • Professional, positive, and resourceful disposition.
