Position: Coordinator, Fellows (MAF)
The Mac Arthur Fellows Program awards unrestricted fellowships to talented individuals who have shown extraordinary originality and dedication in their creative pursuits and a marked capacity for self-direction. The Mac Arthur Fellowship is a "no strings attached" award in support of people, not projects. Each fellowship comes with a stipend of $625,000 to the recipient, paid out in equal quarterly installments over five years.
The Coordinator is an integral and active part of the Fellows Program, responsible for critical document and information management tasks and supporting program staff. Tasks are high in volume and time-sensitive, requiring accuracy and attention to detail. Each of the three Coordinators has primary responsibility for specific tasks but shares support functions and is expected to "swing" to cover essential tasks as needed.
Clear communication and planning are essential to ensure efficient coverage. The Coordinator must manage time effectively, work independently and collaboratively with minimal supervision, and be flexible in handling various assignments as the program evolves. Maintaining professionalism in interactions with Fellows Program nominators, selectors, evaluators, outside guests, and colleagues across the Foundation is also essential.

Essential Duties and Responsibilities for Coordinator #2:
Evaluator/Nominator-Queuing and Exhibit Processing;
Data Management
Coordinate outgoing correspondence for nominee evaluations and generate invitations to new nominators daily, creating or updating records with contact info, institutional affiliations, titles, domain info, etc.Research and verify contact information via Internet research or inquiries.Enter bibliographical info for nominee exhibit materials ahead of quarterly selection meetings, ensuring accuracy and adherence to discipline-specific conventions.Ensure readability of all exhibits in the online portal used by the Committee.Collaborate with the Foundation Librarian to catalog new materials for the Fellows Library and fulfill Interlibrary Loan requests.Data Management
Maintain data integrity and consistency in the CRM; develop and update data entry and formatting guidelines.Write queries and reports to analyze characteristics of nominators, evaluators, Fellows, and other database groups.Collect and organize data on Fellows through research and database queries; assist in maintaining accurate data on Fellows in the database and Foundation website.Shared Responsibilities for All Coordinators
Maintain office supplies and materials.Assist with special projects such as mass mailings, document scanning, event preparation, and registration.Other Duties and Responsibilities
Support special projects led by Senior Program Officers and a Program Officer.Assist in drafting, formatting, proofreading, and fact-checking memos, reports, presentations, spreadsheets, and other documents.Maintain professional email correspondence with Fellows, Selectors, and colleagues.Support budgeting and contract processes as needed.Qualifications
Minimum five years of relevant administrative experience, including data entry, document management, scheduling, and basic budgeting/contracting.High school diploma or GED; bachelor’s degree or relevant coursework preferred.Experience maintaining data in a CRM system.Skill in Internet research and source evaluation.Proficiency with Microsoft Outlook, Word, PowerPoint, and Excel.Strong writing, editing, and verbal communication skills.Ability to meet deadlines, manage priorities, take initiative, anticipate needs, and adapt to change.#J-18808-Ljbffr
