Senior Business Coordinator – University of Chicago
Salary: $60,000 – $90,000 per year
The Office of Clinical Research (OCR) within the Biological Sciences Division supports clinical and translational research. The Senior Business Coordinator provides high‑level, confidential office support to executive leaders, overseeing administrative operations, resource coordination, and project oversight.
Responsibilities- Manage daily operations of the central research office—calendar management, room reservations, travel logistics, procurement, expense tracking, and recruitment efforts.
- Triage emails and phone calls, refer inquiries to the appropriate person, and follow up to ensure timely responses.
- Coordinate information flow from the leader’s calendar, exercising discretion and judgment to prioritize tasks.
- Handle purchase orders, invoices, and internal billing on behalf of the office.
- Oversee special projects directed by the leader, managing budgets, reconciling accounts, and preparing financial or administrative reports.
- Organize and manage meetings, off‑site events, and training sessions, ensuring smooth logistics.
- Support HR and OAA teams with ad‑hoc projects to improve processes and workflows.
- Track key deliverables, follow up on outstanding items, and initiate correspondence on behalf of the leader.
- Assist in developing administrative goals and policies; perform other related work as needed.
Minimum Qualifications:
- Vocational training, apprenticeships, or equivalent experience (no four‑year degree required).
- 7+ years of work experience in a related discipline.
Preferred Qualifications:
- Bachelor’s degree.
- Senior‑level administrative support for executive leaders in an academic environment.
- Experience scheduling for multiple leaders, preparing executive communications, and reconciling budgets.
- Project management methodologies.
- Advanced proficiency in Microsoft Outlook, Excel, PowerPoint, Word, and Adobe Acrobat.
- Ability to handle highly confidential and sensitive materials.
- Excellent oral and written communication skills.
- Comfortable interacting with senior executives, faculty, and staff.
- Ability to develop collaborative relationships throughout the university community.
- Strong organizational, communication, and interpersonal skills.
- Reliable, driven, and results‑oriented; can manage multiple projects under deadlines.
