About Our ClientAddison Group is partnering with a global marketing organization that supports large-scale initiatives, events, and programs across international markets. The team operates in a collaborative, fast-paced environment and is seeking an Administrative Assistant to support multiple senior leaders and cross‑functional teams.
Job DescriptionThe Administrative Assistant will provide high‑level administrative and operational support to a group of senior leaders and internal teams. This role includes calendar management, travel coordination (domestic and international), expense processing, meeting logistics, and general administrative support. The ideal candidate is organized, proactive, and able to manage shifting priorities with professionalism.
Key Responsibilities- Manage and maintain calendars for multiple leaders, ensuring seamless scheduling.
- Coordinate complex domestic and international travel arrangements and itineraries.
- Prepare, submit, and track expense reports and reimbursements.
- Support meetings and events, including room setup, materials, catering, and logistics.
- Assist with conference and convention preparation, including registration and materials coordination.
- Process invoices and assist with basic budget or billing tracking for assigned teams.
- Maintain confidential information and uphold a high level of professionalism.
- Communicate proactively with internal team members to gather information, follow up on deadlines, and keep tasks on track.
- Provide occasional off‑hours support as needed during peak periods or events.
- Bachelor’s degree or equivalent professional experience.
- 3+ years of administrative or executive assistant experience supporting multiple team members.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook);
SharePoint experience is a plus. - Experience coordinating international travel.
- Exceptional organizational, communication, and time‑management skills.
- Ability to adapt to shifting priorities and work efficiently in a deadline‑driven environment.
- Experience handling sensitive and confidential information.
- Prior experience supporting event planning or large‑scale meetings is helpful.
- This is a 3–6 month role with a strong intention to convert to full‑time permanent employment.
