Executive Assistant to Senior Leadership

A leading and growing financial services firm located in the vibrant heart of downtown Chicago is seeking a polished, resourceful, and proactive Executive Assistant to Senior Leadership to join its fast-growing team. The role is in‑person and offers high‑level support to senior leadership in a dynamic, fast‑paced, and collaborative environment.

Base pay range: $75,000–$95,000 per year.

Key Responsibilities
  • Expertly manage complex executive calendars, coordinating meetings, conference calls, and events with precision and professionalism.
  • Arrange seamless domestic and international travel, including flights, accommodations, transportation, and detailed itineraries.
  • Act as a trusted liaison between executives, clients, and internal teams to ensure effective communication and timely follow‑up.
  • Prepare, review, and refine correspondence, reports, and presentations with meticulous attention to detail.
  • Oversee meeting and event logistics—book conference rooms, manage catering orders, and ensure smooth setup and breakdown.
  • Support daily office operations by tracking inventory, ordering supplies, and managing vendor relationships.
  • Greet and assist visitors, creating a warm and professional first impression while handling special projects and occasional errands.
Qualifications
  • Bachelor’s degree preferred; equivalent relevant experience will be considered.
  • Minimum of 3‑5 years’ experience providing executive‑level administrative support in a professional environment.
  • Previous experience in private equity, finance, consulting, or related fields strongly preferred.
  • Exceptional written and verbal communication skills with the ability to draft professional correspondence.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and strong overall tech aptitude.
  • Highly organized, detail‑oriented, and able to manage multiple priorities while maintaining confidentiality, discretion, and professionalism.
