Overview
Senior Executive Assistant - Chief Finance Officer role at UL Solutions. This role is full-time, five days a week on-site, based at our Northbrook (40%) and Chicago (60%) offices.
The Senior Executive Assistant provides dedicated administrative support to the Chief Financial Officer, handling calendars, travel, complex reporting, and a variety of administrative duties. The role involves resolving complex and sensitive questions and problems.
Responsibilities- Provide a wide variety of complex administrative and staff support services, including preparing financial documents, handling correspondence, and maintaining confidential information.
- Relieve the organizational unit of administrative work by preparing varied to complex reports, typing documents, filing, answering questions about procedures, screening phone calls, and related tasks.
- Assist with high-level, complex strategic confidential projects, including creating supporting documentation such as graphs and charts.
- Assist in the preparation and control of office records, statistics and reports regarding operations and personnel.
- Schedule, coordinate, and maintain calendars and international travel itineraries.
- Make meeting and travel arrangements for leadership.
- Organize and facilitate internal meetings, such as global virtual Townhalls and knowledge-sharing sessions, and communications around corporate initiatives.
- Create and distribute update reports to functions and manage SharePoint site.
- Maintain onboarding and offboarding of all function employees.
- Coordinate and organize Employee Engagement activities.
- Support office space and serve as an administrative liaison regarding administrative issues related to the organizational unit.
- Assist in the budgetary process for the organizational unit.
- Higher Secondary Education plus generally ten or more years of experience as a (Senior) Executive Assistant.
- Public company experience required, preferably within the finance function.
- Experience in preparing materials for the Board of Directors and comfort in interacting with Board members.
- Ability to interact and communicate with Senior Leadership and influence prioritization of schedules.
- Demonstrated ability to handle multiple tasks within the assigned area.
- Demonstrated ability to make sound decisions based on information presented or researched.
- Detailed knowledge of the organizational area assigned.
- Flexible to work at Northbrook or Chicago, IL offices (workstation in both locations).
We understand compensation is important. The estimated salary range for this position is $90,000 to $115,000 and is based on factors including knowledge, experience, location, and other factors. This position is eligible for an annual bonus with a target payout of 10% of base salary. Benefits include medical, dental, and vision insurance; wellness benefits; retirement savings (401K); paid time off including vacation (15 days), holidays and floating holidays (12 days), and sick time off (72 hours).
