Verify, obtain approvals, enter, and pay all vendors in a timely and accurate manner in accordance with accounting policies, procedures, and management approval. The Accounts Payable Coordinator will be responsible for the functions listed below, though not limited to.
Essential Duties & Responsibilities- Process all approved invoices for payment.
- Ensure appropriate backup is attached.
- Verify GL codes against budgets.
- Audit invoices for errors and correct as necessary.
- Reconcile all statements, request missing invoices, and make adjustments.
- Notify the Controller of any vendor concerns impacting service.
- Summarize payments due and communicate cash needs to the CAM/Regional Controller for approval.
- Obtain and attach appropriate support documentation before payment.
- Ensure checks are printed properly, signed, and backed up.
- Scan all checks and invoices to the server.
- Mail all processed checks.
- Handle vendor inquiries and reconcile vendor statements.
- Maintain all necessary files in an organized manner.
- Maintain paid and unpaid invoice files.
- Maintain 1099 files for current and new vendors.
- Maintain Certificates of Insurance for current and new vendors.
- Maintain voided check files.
- Set up new vendors.
- Transfer vendor accounts from Developer to Association.
High school diploma acceptable. Two years of post‑high‑school education preferred. Accounts Payable and Vantaca experience a plus. Accounting AA preferred.
Skills & AbilitiesRequires knowledge of accounting and the hospitality profession; ability to make decisions and determine a course of action. Must work well with and understand financial information and data, and perform basic arithmetic. Must possess strong communication skills for negotiating with and convincing vendors, and maintain composure in stressful, high‑pressure environments.
Tools & EquipmentComputer, phone, cell phone, printer, office equipment.
Physical Requirements / Working Environment- Limited lifting, pushing, pulling, and carrying of boxes (approximately 1% of job function).
- Limited bending and kneeling when arranging supplies or equipment (approximately 1%).
- Mobility required to move about the complex between offices (approximately 2%).
- Work environment: 100% indoors.
- Hearing vital for telephone communication with guests.
- Vision vital to complete numerous administrative responsibilities.
- Speech vital for communicating with guests, employees, and clients.
- Excellent reading and writing abilities required for written guest communication and administrative tasks (100% of workday).
- Ability to work 40+ hours each week as needed.
The work environment is normal office conditions at an onsite community facility. This is a full‑time position. Occasionally evening, weekend, and holiday work may be required. Consistent, regular attendance is essential. Hours over and above normal office hours (including evenings, holidays, and some weekends) may occur and the schedule may change based on business needs.
